The regularly scheduled Workshop meeting of the Board of Directors of the Monroe County Volunteer Firemen’s Association was called to order by the Acting Chairperson, Mr. Alan C. Way, the Association Jr. Past President at 7:35 PM at the Combined Training Facility located at 1190 Scottsville Road, Rochester, NY. This was due to the excused absence of the Association President, Mr. Lawrence A. Ritz, the 1st Vice President, Ms. Diana Pfersick, RN and the 2nd Vice President, Mr. Michael Smith.
The assembled members were led the Pledge of Allegiance to the American Flag by the Sgt.-At-Arms, Mr. Larry Zarnstorff and the Opening Prayer was offered by the Acting Association Chaplain, Mr. Donald Fox.
With the taking of the roll call it was determined that a quorum did not exist to conduct any Association business nor introduce the Treasurer’s Report or pay the Association financial obligations at this time.
There was a request made by the Secretary to hold over all financial discussions and Association business for the upcoming Quarterly Convention, (January 25, 2007 @ The Mendon Fire Department). This request was agreed to by those attending members.
At this junction the meeting was turned over to the Mssrs. Donald Fox and William Nichols for discussions regarding the 2008 FASNY Convention to be held in Rochester, NY from August 21-23, 2008.
The Convention headquarters will be at the Clarion Hotel, located at 120 East Main Street. The ladies will be headquartered at the Hyatt Hotel, 153 East Main Street. Overflow will be housed at the Crown Plaza located at 70 State Street.
Contracts have been signed for all designated hotels, meeting rooms and dining rooms for the Convention business.
$10,000.00 has been allocated from the Association Budget for Convention expenses. This is a line item and has been part of the approved MCVFA (Inc.) budget. $10,000.00 in matching funds has been secured from State Senator Joseph Robach for Convention expenses. Mr. D. Fox stated that there will be sizable additional expenses that must be covered and any ideas the membership may have should be shared as soon as possible with the Association President, Mr. Lawrence A. Ritz.
There was a combined meeting of the Association Steering Committee and the Convention Committee on January 14, 2007. This was primarily an organizational meeting. The Convention Committee roster is attached to these minutes for membership reference.
It was stressed by Mr. Donald Fox that the Association Directors must “GET OUT THE VOTE” for Mr. William Nichols, who is running for the office of FASNY 2nd Vice President. His experience is needed to represent the FASNY members in “Upper New York State”.
The following events are under consideration for the Convention although nothing has been finalized as of the date of this meeting date.
There will be a dinner cruise. Two boats may be needed and the point of departure will be the Corn Hill Landing area.
There will be a golf tournament, probably at Eagle Vale Country Club.
There will be a band concert on the Wednesday evening of the Convention Festivities.
There was talk of having a clambake on the Thursday of the Convention.
There were discussions of various venues for the above-mentioned events but as of this meeting date there is nothing yet firmed up.
The Rochester Protective will be celebrating their 150th anniversary in 2008 and they will have the honor of leading the opening ceremonies and will provide the Color Guard for the Convention.
There were several Convention-related items discussed: fund raising, locations of events, hospitality issues, downtown safety concerns and member participation concerns were voiced by the attendees.
Mr. Alan C. Way rose to discuss the recent ad campaign. The cut-off for submissions is February 15, 2007 for the 2007 Book. There will be an inside cover of the book designated for the candidacy of Mr. William Nichols. The report is attached to these minutes.
The scheduled date of the Combined Banquet will be May 5, 2007. The location will be at the Logan’s Party House.
There is still an opening for Director from the 2nd Battalion. Letters will be due by January 25, 2007.
With no additional items brought up at this time, the meeting was adjourned on a motion by Mr. W. Nichols. 2nd by Mr. A. Way.
It was stressed by Mr. D. Fox that the Monroe County Volunteer Firemen’s Association has a well deserved reputation of putting together one of the finest Convention efforts. Let this one be the best ever!!
