Vice Chairman Bill Nichols at Penfield #1 called the December 12, 2007 meeting of the Monroe County Volunteer Firemen’s Association 2008 Convention Committee to order at 7:35 PM.

Dave Schultz, Chairman of the Gulf Tournament sent word to the Committee that he was running the same ad as before.  He is using the same gulf course as in 2001.  .  The FASNY Convention Chairman has requested the Tournament be held on Tuesday instead of Monday.  It has been decided to go with this request.

Tuesday night will be a German night at the Barnard Exempt Club.  There was a discussion regarding the amount to be charged per person.  The cost decided on was $35.00 per person, which will include transportation to and from.  There will be live entertainment, food and drinks.

Wednesday morning will be the official opening at 9:00 AM.  Don is working on the list of dignitaries to be invited.

Wednesday night will start off with a live Fire Department Band Concert at the hotel by the river to be followed at 8:00 PM with a Monty Carlo night until 11:00 PM.  Al is working on this along with asking High Falls Brewery to help sponsor this event.

Thursday the Rochester Fire Department will give a demonstration on River Rescue by the hotel.

The main Hospitality Room will be on Thursday night in the Main Ball Room.  All reservations will go to Al Way.  Al will also run the County Hospitality Room.

Friday morning will be the Memorial Service in the Main Ball Room.  Don will locate an organ and also an organist.  The same person will also play at the opening of all meetings.

Friday afternoon will be the Firefighter games.  The FASNY Firefighter Game Committee will organize this event.

VFIS will give insurance coverage for the FASNY Firefighter Games.

Gary Johnson has been contacted in regards to an insurance rider for the MCVFA Convention Committee.

The Friday night dinner will be $48.00 per person for the Past President’s/Installation dinner.  All reservations will be through FASNY office.

The hotel has agreed to handle the arrangements for a copier and needed phone lines for the FASNY Secretary’s office and the FASNY Ways and Means area.

Barry Sens has sent word he is all set.  Reservations are already coming in.

Program Book – Dave Sweet indicated he is already.  He is working on mailing labels.  He needs a target date.  It was decided that it would be mid January.

Ken Newton is working on a raffle where we mail out tickets and they are returned.  It is hopeful the postage for this will be covered by a grant Don is working on.

Ways & Means Committee – Larry Ritz – a camera has been purchased just like the one given away last August from the same dealer.  They were able to give it to us at a better price since the price has gone down.  All the tickets we purchased on a second purchase last summer have been found and are ready.  I will begin the raffle at the January Director’s meeting.  I will ask each Director to take X number of tickets.  I have contacted Casa Larga Wineries.  Some donations are possible when I give them a number we will need.  It was decided that there will be a need for 30 Officer Gift Baskets.  Larry will check into prices on baskets also.  Nothing has been started in regards to gift certificates as yet.

Karen Riordan was unable to attend tonight’s meeting with shirt samples due to work.  This will be handled at the January meeting.

Bonnie Sweet reported that she is working on getting the luncheon price settled on with the hotel.

The next meeting will be held at Penfield #1 on January 16th at 7:30 PM.

Vice-Chair Nichols adjourned the meeting at 9:00 PM.

Respectfully submitted,

Alan C. Way, Committee Secretary
