    Chairman Don Fox called the March 12, 2008 meeting of the MCVFA FASNY 2008 Convention Committee to order at 7:35 PM.  Attendance was taken and recorded.

    Karen Riordan reported that she is waiting for the final design to come from Stitch Works.  They have been out of town.  The design will be sent to Don, Bill and Karen to be Oked. 
   
    The price list is coming from Century Liquor.  There was a discussion on how many bottles to order.  It was decided to order eight (8) cases.  Karen will handle the ordering since some of it will be going in the baskets the Auxiliary will be assembling.

    Karen has shirt samples for people to try on if needed.

    There was a discussion on the ribbons required for the ladies.  Bonnie was given a number of names she could contact.

    The ladies will require typewriters on Tuesday from 8:30 until 4:30 and on Wednesday from 8:30 till 11:00.  Don will contact the Visitor’s Bureau to see if they can help.

    Bill gave Carl a number of checks for rooms, golf and October Fest to deposit.  Carl reported that the Treasury is OK.  The Ladies have their check as requested and approved last month. 

    Bill reported that housing is going slow.  He has received three packets from FASNY to date.  There are a total of 120 reservations and 60 on the other side.  The idea of one check to cover everything is not working.

Hospitality – Don will get together with Gordy when he returns to the area.

    Memorial Service – Mike Smith is following through with a couple of things.  We have not had anything from Father Mich. as yet.

    Program Book – The total coming in from Marketing Squad is not looking very good.  The letter that was sent out by a certain person did not help.  There is also a possible problem with the printer.  We may have to put something in the newspaper in regards to the convention coming to Rochester and the need for funds to put it on.  The letters statewide just went out.

Security – Ken will get with someone with the hotel to see what is needed from us.  It was decided that nothing is needed at the October Fest.

    The Band Concert is coming along OK.  FASNY has scheduled a forum for the same night as the concert and the Monty Carlo night.  They will be using the south end of the main room so we will set up in the north end.  We should count on 12 tables total.  We are still waiting to hear from the Brewery.

    Larry will work with Dave Schultz in regards to the Trustee get together.

    Ways & Means – Larry Ritz – the ticket money is not coming back very fast.  Larry was able to turn in some money to Carl at this meeting.

    The Ladies will need raffle tickets for their large raffle and also the luncheon.  Bonnie Sweet still has to design the luncheon ticket.  

    Karen reported she is coming along fine on the needed supply of the needed baskets.

    The Ladies will be meeting on March 25th at Penfield #2 to discuss the convention and their needs.  Ann Sweet has been named the new Treasurer.

    Bonnie still has not heard back from Marilyn Horwood in regards to her playing at the installation.

    All the funds that are received from the large basket raffle will stay with the MC Ladies. 

    The Explorers are all set for the ladies installation.

    It has been decided that the Auxiliary will not pay for any officer’s lunch.

    Don is still waiting to hear back on our request for the County radio equipment.

    Al Way reported that the hotel has still not sent him the liquor and beer price list for the main hospitality room.

    Don has submitted a grant request letter to Jim Alisi.

    The next meeting will on April 8th at Penfield #2 at 7:30 PM.  A Banquet meeting will be held at 7:00 PM.

    The meeting was adjourned at 8:45 PM.
